Requesting Broadband at first seems like a simple process, yet once you experience an event where the broadband was unplanned, unexpected charges and problems quickly follow. When setting up broadband with your venue, first make sure you determine the amount of devices expected to be used and not the amount of users. The average attendee uses 2-3 devices. Then use the below link to a great Bandwidth Estimator. Before you sign with your venue, ensure 1) your event broadband is dedicated broadband to your group only (not shared), 2) your requested broadband needs (from estimator) are clearly listed on your contract, 3) state that your rates will not increase if you use an outside AV company (always get your rates established and signed before you chose an AV company. In-house AV companies use broadband charges as a “power chip” to push you to go with in-house, limiting your AV selections and options. Remember: you can request internet usage reports from the venue during your event as well.
