POWER: Don’t Get Shocked.
At O’Design Productions and Consulting we are not an AV company but an elite team of both Meeting Planners and AV Specialist that take the AV work off our client’s plates. After managing and supporting hundreds of events all over the country and world, one item that is frequently overlooked but costing clients thousands is POWER.
Here are the steps we take to ensure our clients are never surprised with POWER overcharges:
Never assume venue power, or “wall power,” is included to run your AV equipment for both your General Session and your Breakout Rooms. Before signing your contract, place in your contract that all wall power in all meeting space is complimentary (no matter what AV company you choose). If you have already signed a contract, request a breakdown of power charges from the in-house AV company to determine your power needs and review possible electrical set up and strike fees. Once identified, provide your request showing the amount you need per room, per day, and request a power quote. You will want to get your power charges established and signed before the start of your event.
Also, remember that General Sessions equipment usually require more power than what the wall power can provide. Ensure you are provided the correct amount of additional power at fair rates and get those rates in writing.
Finally, at O’Design we will always insist that our clients be charged for the consumption of power, which is a lot less than general daily charges.
